Workspace Lead
Completing regular site walkarounds to ensure an enhanced customer experience at all times, including responsibility for ensuring that cleaning standards are maintained, including manging relationship with cleaning contractorsHave total ownership of all spaces including meeting rooms, events, collaboration, and workspaces to ensure the best first impression and workplace experience throughout.Conduct monthly Facilities Forum with key stakeholders to address any issues raisedEnsure that Executive meeting arrangements, board days and staff training sessions are supported with room requirements, hospitality and room set upManagement of the on site gym experience ensuring standards are maintainedMaintain relationships with vendors that provide services and goods to the office.Supporting the Projects Teams with scoping and delivery of project worksProvide cover for Reception as required, including absence and lunches.Provide remote cover for the Facilities Coordinators across the estate as required, including absence
Health, Safety & Compliance
Lead with any Facility or Health & Safety related issues on site, including managing emergency incidents.Ensuring compliance with Statutory and H&S requirements, including keeping documentation up to date and actioning any remedial worksEnsuring completion of planned maintenance and reactive activities in accordance with the Planned Maintenance Planner / Compliance Register / Site To Do ListOwnership of site logbooksEnsure all health and safety related tasks are covered by a member of the site team at all timesComplete regular site walkarounds to address any safety concerns of facility issuesManagement of subcontractors including monitoring of works being completed on site, obtaining quotes for works required and quality inspections.Managing First Aid & Fire Warden requirementsManaging DSE requirements for all employeesEnsure that site specific risk assessments are completed and reviewed regularlyEnsure that COSHH compliance is in placeEnsuring H&S processes are in place and reviewed regularly for the on–site gymLiaison with the Landlord Property TeamSupporting the Facilities Manager and Risk Teams with the implementation and operation of Disaster Recovery Planning and/or Business Continuity PlanningContributing to the business Energy & Sustainability plans by sharing ideas and implementing improvementsRespond to any reasonable management request
Experience Required
Communication Skills – Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common enquiries or complaints from clients, co–workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.Strategic and Interpersonal Skills – Ability to solve problems and deal with a variety of options in complex situations.IT Skills – Intermediate skills with Microsoft Office Suite products such as Word, Excel, PowerPoint, SharePoint, Outlook etc. Comfortable with and embracing of new technologies and digital tools, such as Apps, databases, work order management, social networking, cloud technologies, handheld mobile technologies and applications, and communications.Results oriented – ability to achieve business goals, with a concern for working well, surpassing standards of excellence and passion for challenges.Customer focussed – develop strong customer relationships by listening to and satisfying customer needs.
